How Do I Complete the Registration Exemption Memo?

Registration Exemption Memos are used when a student is prevented from registering for a course on my.SDSU due to course registration restrictions, but their advisor can provide justification for allowing them to register for the course.

Note: If the registration window has closed for the term, Registration Exemption Memos cannot be filed. Instead, the student will need to submit a Petition for Late Schedule Adjustment.

Instructions

1. On the my.SDSU homepage, select the Advisor Forms tile.

2. From the list of Advisor Unity Forms, select Registration Exception Memo.

3. Selecting the Registration Exemption Memo link will launch a form.

    1.  In the Student Information section, input the student’s EmplID (ID number starting with 1), and the student’s personal information will automatically populate.

    1. In the Course Information section, input the Term, Class Number, and Course Number for the course you would like to allow the student to register for. If the course has more than one component, such as a lecture and a lab, input all of the Additional Class Numbers for Multi-Component Class.

4. How you complete the Permission Number field depends on if the waitlist is still open and if Department/Instructor Consent is required to take the course:

  1. If the waitlist is still open and no Department or Instructor Consent is required in my.SDSU, you can leave the Permission Number field blank.
  1. If the waitlist is still open and Department or Instructor Consent is required in my.SDSU, the student must contact the department to get pre-approved to take the class before you file the Registration Exemption Memo. Once the student is pre-approved to take the class, you can file the Registration Exemption Memo and leave the Permission Number field blank.
  1. If the waitlist is closed but the registration window is still open, the student must contact the instructor to obtain a one-time use permission number. Enter that number in the Permission Number field. If the instructor has questions about how to generate the one-time use permission number, they can reference this permissions guide.

Note: If the registration window has closed, you will no longer be able to file a Registration Exemption Memo. Instead, the student will need to submit a Petition for Late Schedule Adjustment.

5. Under Action Requested, select either Remove Course Contingency or Enroll/Wait List Student.

6. Under Approved Exception, select the boxes next to all of the exceptions that apply to the student’s situation. You may select multiple exceptions. If you select Other, you will be asked to enter a description of the approved exception. When you have completed the form, select Submit.

7. Once you select Submit, you will be directed to a Confirmation page on the Office of the Registrar website letting you know that your Registration Exception Memo has been filed with the Office of the Registrar.

After the Registration Exception Memo has been processed, you and the student will receive a notification. The three possible notifications  are:

  1. The student has enrolled in the course.
  2. The student has been placed on the waitlist.
  3. The request cannot be processed. A reason will be provided.
